1. Background

These Terms and Conditions govern participation in the Maia Meeting (hereinafter referred to as the “Event”), promoted by the organisation identified on the respective official website. By registering for and/or participating in the Event, the participant declares that they have read, understood, and accepted, without reservation, all the provisions described herein.

2. Registration and Admission

2.1 Registration Requirements

Registration for the Event is mandatory and may be subject to selection criteria, availability of places, or payment confirmation, as defined by the organisation. Registration is only considered valid upon receipt of formal confirmation from the organisation.

2.2 Age Limit

Participation is reserved for those aged 18 and over. Minors may only participate with written authorisation signed by a parent or legal guardian, to be submitted at the time of registration.

2.3 Cancellation by the Participant

Cancellation of registration must be requested in writing to the organisation’s official contact address at least [insert deadline, e.g. 10 working days] before the date of the Event. An administrative fee may apply, with partial or full refunds determined on a case-by-case basis.

3. Cancellation or Alteration of the Event

The organisation reserves the right to change the dates, venue, format, or content of the Event, or to cancel it, whenever this proves necessary for logistical, technical, security, public health reasons, or force majeure.

In the event of definitive cancellation, the amounts paid will be refunded in full. The organisation is not responsible for any additional expenses incurred by participants (e.g. travel, accommodation, meals).

4. Participant Conduct

During the Event, participants undertake to:

  • Act with courtesy, respect, and professionalism;

  • Comply with the instructions of the organising team and support staff;

  • Ensure the integrity of the equipment, facilities, and materials used;

  • Refrain from behaviour that jeopardises the safety, well-being, or rights of others.

The organisation reserves the right to refuse or terminate the participation of any individual who violates these rules.

5. Image Rights and Content Capture

By participating in the Event, the participant authorises, free of charge, the capture and use of their image, voice, or statements, in video, photography, or other media, for the purposes of institutional disclosure and future promotion of the Event, in physical and digital formats.

Should the participant not consent, they must communicate this intention in writing to the organisation before the start of the Event.

6. Intellectual Property

All content presented within the scope of the Event, including presentations, documents, videos, audio, and any educational or promotional materials, is protected by copyright and/or other intellectual property rights.

Their reproduction, distribution, disclosure, or use for commercial purposes is expressly prohibited without the prior written authorisation of the respective owners.

7. Protection of Personal Data

The collection and processing of participants’ personal data comply with the provisions of the General Data Protection Regulation (GDPR). The data will be used solely for purposes related to the management of the Event and, where authorised, for sending future communications.

Participants may, at any time, exercise their rights of access, rectification, objection, or erasure of data by contacting the organisation via the email address indicated on the official website.

8. Limitation of Liability

The organisation cannot be held liable for any damage, loss, theft, or misplacement of personal belongings during the Event. The safekeeping and supervision of personal items is the sole responsibility of each participant.

9. Final Provisions

Any omission or gap in these Terms will be addressed by the organisation, based on good faith and reasonableness. Any disputes arising from the interpretation or execution of these Terms and Conditions will be resolved by the Judicial Court of the District of Maia, with express waiver of any other jurisdiction.
